Strathmore Chess is a community chess club based in Strathmore, Alberta. This Privacy Policy explains how we collect, use, store, and protect personal information when you contact us, attend club activities, participate in games or tournaments, or use club-related online forms or scheduling tools.

Championship and Tournament Records
Tournament organizers may record player names, pairings, scores, standings, and qualification status to run qualifying rounds and championship finals. These records help determine results, allocate finals places, and maintain event records.
The 2026 Championship Finals are restricted to players living within a 20 km radius of Strathmore. If information is requested to confirm eligibility, organizers will explain what is needed and how it will be used. Please do not send identity documents or copies of identification through the website or email unless organizers have explained why they are needed and how to provide them securely.
Pairings and standings may need to be visible to participants during an event. Before publishing identifiable player names or results on the website or social media, organizers will explain the intended publication and obtain consent where appropriate. Parents or guardians should be involved in decisions about publishing information identifying youth players.
Contact details and information provided to verify residency are not intended for public tournament results. Contact the club if you have questions about how you or your child will be identified in event records.
Website Services and Visitor Information
The website loads Google Fonts and embeds Google Maps to display the club’s meeting location. When these services load, your browser connects to Google, which may receive technical information such as your IP address, browser information, and the page from which the request was made. Google’s handling of this information is governed by its own privacy policy.
Links to other websites are provided for convenience. Their privacy practices are governed by their own policies. Contact links open your email application; the website does not submit a contact form when you click an email link.
The championship popup does not collect personal information or use cookies, local storage, or session storage to remember whether you closed it. It is configured to appear after each homepage load.
Website hosting and security providers may process technical information, including IP addresses and request logs, to deliver the website and protect it from abuse. Access to a private hosted version may require signing in with the hosting provider, whose own privacy terms apply.
In-House Scheduling Software
Separate from this public information website, Strathmore Chess may use scheduling software developed in-house to help plan games, tournament pairings, player availability, and other club activities.
Information entered into the scheduling system is used only for club organization and game or tournament planning. Access is limited to people who reasonably need it to help operate or organize Strathmore Chess activities.
The scheduling system may include information such as player names, contact details, availability, tournament participation, game pairings, or skill-level information voluntarily provided by players or parents/guardians.
Cloudflare Turnstile
The current information website has no contact forms or Cloudflare Turnstile integration. If Strathmore Chess adds online forms, it may use Cloudflare Turnstile to help prevent spam, bots, and abuse. Turnstile may process certain technical information, such as browser or device signals, to determine whether a form submission appears legitimate.
This tool is used for website security and spam prevention. It is not used by Strathmore Chess to identify visitors for advertising purposes.
When Information May Be Shared
Strathmore Chess does not sell personal information. We may share limited information only when reasonably necessary, such as:
- With club organizers or volunteers who need the information to help run an event
- With a parent or guardian regarding a youth player
- With tournament organizers or chess associations when needed for official tournament participation, if applicable

Youth Players
Children and youth are welcome at Strathmore Chess. When information is collected about a youth player, it is used only for appropriate club purposes such as communication, supervision, game planning, tournament participation, and safety.
For younger players or players who are new to the club, we may request parent or guardian contact information. Parents or guardians may contact us to ask about, correct, or request removal of their child’s personal information where appropriate.
